1.3. This privacy policy applies to all attendees, visitors, exhibitors, speakers, sponsors, staff and other participants at any WoodShow event.

1.4. We are committed to safeguarding your personal information and to complying with all relevant data protection laws and regulations applicable to each event, including the General Data Protection Regulation (GDPR) where applicable, and the data protection laws of the United Arab Emirates, the Arab Republic of Egypt and the Kingdom of Saudi Arabia in respect of the event in which you participate.

2. Information We Collect

2.1. Personal Information. We collect personal information that you provide to us when you register for an event, including your name, email address, phone number, job title, company name, country of residence, nationality, passport or Emirates ID (EID) number, and photograph.

2.2. Payment Information. Where applicable, we may collect payment information, such as credit card details, in order to process your event registration fees or other purchases.

2.3. Event-related Information. We may collect information about your attendance at an event, such as your arrival and departure times, session attendance, badge scan records, and other interactions with event content and activities.

2.4. Website and Digital Platform Information. We collect information through cookies and similar technologies when you use our websites, mobile applications and other digital platforms. Please see Part C — Cookies Policy for details.

3. How We Use Your Information

3.1. Event Registration. We use your personal information to register you for the event, to create your attendee badge, and to provide event updates and information.

3.2. Payment Processing. We use your payment information to process registration fees or other purchases related to the event.

3.3. Communication. We may use your contact information to send you updates, newsletters and promotional materials relating to the event you registered for, or to other events organized by Strategic Marketing and Exhibitions.

4. Sharing Your Information

4.1. We may share your personal information with third-party service providers — such as event management platforms, payment processors, marketing service providers, government authorities and event partners — in order to facilitate event organization, entry, security and communication.

4.2. We may share your personal information with event sponsors, exhibitors or other participants in accordance with relevant data protection laws and regulations, and only where you have given your consent, including through the badge scanning process described in Section 5.

4.3. Because our events take place in more than one country, your personal information may be transferred to, stored in, or processed in the United Arab Emirates, the Arab Republic of Egypt or the Kingdom of Saudi Arabia, as required for the organization and delivery of the relevant event.

5. Exhibitor Badge Scanning and Data Consent

5.1. By permitting an exhibitor to scan your badge, you consent to the organizer transferring your registration information to that exhibitor for the purpose of direct communication regarding their products, services and business activities.

5.2. No further consent will be requested by the organizer for this data transfer.

5.3. If you do not wish your registration information to be shared with an exhibitor, you should decline to have your badge scanned by that exhibitor.

5.4. Once your information has been transferred to an exhibitor, that exhibitor acts as an independent data controller in respect of your information. Any request to access, correct or delete the information held by that exhibitor, or to unsubscribe from their communications, should be directed to the exhibitor concerned.

6. Data Security

6.1. We implement appropriate security measures to protect your personal information from unauthorized access, use, disclosure or alteration. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights

7.1. You have the right to access, correct or delete your personal information, as well as the right to object to or restrict the processing of your personal information. To exercise these rights, please contact us at info@strategic.ae.

7.2. Where your information has already been shared with an exhibitor through badge scanning, please also refer to Section 5.4.

8. Event Media Consent Agreement

8.1. By attending any WoodShow event, you acknowledge and agree that you may be photographed, filmed or recorded.

8.2. You grant permission for the organizers to use any photographs, videos or recordings taken during the event for promotional, marketing or social media purposes, without compensation or further approval.

8.3. Your participation in the event signifies your consent to the use of your image, voice or likeness as described above.

9. Changes to This Privacy Policy

9.1. We may update this privacy policy from time to time. We will notify you of any changes by posting the revised policy on our website and updating the effective date at the top of this policy.
